challenge

VTEX DAY is the largest innovation event in Latin America. The 2022 edition included over 120 talks, totaling more than 150 hours of content and featuring 190 speakers across 8 stages. The challenge was to capture significant moments in real-time during the event, making it feel spontaneous rather than produced, while also ensuring that there was footage available for post-event content.

my role

→Planned and executed the real-time Instagram coverage for the event's official account, collaborating with the company organizing the event.
→Coordinated the squad of volunteers and a professional video production team.
→Curated footage from the production team for immediate sharing on social media while ensuring high-quality, real-time storytelling.

methodology

Managing content for real-time events requires extensive planning in advance.

I made sure that each team member had a specific schedule to prevent confusion or overwhelm. This approach helped us capture all the necessary footage while also prioritizing the team's well-being. The media team, photographers and filmmakers, was assigned specific "must-capture" locations, while other team members operated in a "free-roaming" way. This hybrid approach allowed us to cover the main stages officially while also capturing the spontaneous energy and networking that occurred in the pavilion.

Meanwhile, the volunteers acted as live reporters during key sessions. They were tasked with capturing insights and quotes in real-time for social media posts during the event, as well as gathering content for post-event articles and longer pieces.

outcomes

→+12k followers (+40% growth in followers) and an average reach of 167k accounts.
→50 feed posts, 243 stories, 18 reels, and 15 videos.
